Improving collaboration with Microsoft Teams

Businesses are scrambling to adapt to the challenges of the coronavirus pandemic, and for many companies, this has meant embracing a digital shift sooner than expected. The good news? Microsoft Teams has stepped up to the plate, and for our South Florida clients, the app is proving to be a reliable way to collaborate remotely so their business doesn’t miss a beat.

What is Microsoft Teams?

Microsoft Teams is a free unified communications program that allows users to collaborate effectively without compromising privacy and security. Teams’ features include a mobile app that allows users to chat from anywhere, video conferencing for up to 10,000 people, and conference call management tools such as direct routing and calling plan, among others. All are nestled within the Office 365 suite, so you get secure access, sharing, and editing of Word documents, PowerPoint presentations, and Excel spreadsheets in real time.

At a time when companies are scrambling to adapt their infrastructure to accommodate home-based workers, Teams is an excellent way for remote workforces to stay productive and connected to the main office.

How can people collaborate on Teams?

Collaborating on Teams is easy. To share a file, for instance, simply call the people you want to share it with and open a file through Teams while on call or chat. The people on the same call or chat will gain access to the file, and you can begin working together in real time. And you won’t need to worry about duplicate save files — the app (via SharePoint) automatically manages that for you.

The collaborators don’t even need to be on computers — one or all of the users can use mobile (if they’re on the go) or on any of the multitude of common handheld devices (such as iPads and Surface tablets) that support the Teams app. No need for you to acquire new hardware for all your employees as long as they’re on a supported device.

To top it off, Microsoft provides a team collaboration management learning path filled with modules that will guide you through deploying Teams for clients, managing apps and connectors within the app, and manage meetings and events on the platform.

What are the benefits of Teams?

The most obvious benefit is its ease of use. Microsoft designed Teams to accommodate all the collaboration tools within Office 365 without having to open them one by one. You can access all your files, conversations, tasks, and even third-party applications on a single interface. This means less skipping around the screen to open multiple applications, and easier integration and training of new employees.

Teams also helps users focus their attention on work by making it more efficient to sort though inboxes and chat messages. Data on trams can be compartmentalized through channels, and each channel can be configured to contain only conversations, meetings, and files related to that channel’s topic. No need to keep bouncing around apps looking for files and conversations; rest assured that they’re all sitting together in the same channel. It’s an excellent way to step into a fully digital workplace, as Teams is intuitive and easy to use.

Lastly, Teams allows for improved transparency and increased visibility. Say goodbye to worrying about whether you CC’d the correct people in your email, or whether your list of invites to an e-meeting is updated and contains everyone who should be present. On Teams, you can simply send your message or invitation to the relevant channel and all members will be notified accordingly. It’s also a great way to leave motivational notes and team-wide updates to members of certain teams.
